GHL snapshots
GHL snapshots: what they are, where to get them, and how to judge one
A snapshot is the fastest way to stand up a working HighLevel account. It is also the fastest way to inherit somebody else's broken automation. This is how to tell the difference before you import.
What is a GHL snapshot?
A GHL snapshot is a saved copy of a HighLevel sub-account's configuration that you can load into another sub-account. It carries the build, not the data: funnels, websites, forms, surveys, calendars, pipelines, custom fields, workflows, triggers, email and SMS templates, and campaigns. It does not carry contacts, conversation history, or payment records. Agencies use snapshots to launch a new client account in an afternoon instead of a week.
What travels in a snapshot, and what stays behind
The single most common snapshot mistake is assuming it moves everything. It moves structure. Anything tied to a live account, a phone number, a connected payment processor, or a real contact record stays where it is, which is why an imported snapshot always needs a connection pass before it can run.
| Item | Travels in the snapshot | Needs setup after import |
|---|---|---|
| Funnels, websites, and forms | Yes | Domains, tracking, and payment links |
| Workflows and triggers | Yes | Re-point any action tied to a user or number |
| Calendars | Yes | Calendar connections and team assignment |
| Pipelines and custom fields | Yes | Nothing, usually |
| Email and SMS templates | Yes | Sending domain and number registration |
| Contacts and conversations | No | Import separately |
| Payments, invoices, and products | Partly | Reconnect the processor and re-create live products |
| Phone numbers and A2P registration | No | Register the new account on its own |
How to import a snapshot into a sub-account
Importing is a 5 minute job on the agency side and a 2 hour job on the cleanup side. Do the cleanup in the same sitting or the account will ship half-wired.
- 1. From the agency view, open the sub-account you want to load, then apply the snapshot from the account settings.
- 2. Choose whether to overwrite or merge. Merging into a live account leaves duplicate workflows behind more often than people expect, so prefer a fresh sub-account when you can.
- 3. Walk every workflow and re-point actions that reference a user, a phone number, a calendar, or an email address from the source account.
- 4. Reconnect the payment processor, the sending domain, and the calendar integrations.
- 5. Send 1 live test through every entry point: form fill, missed call, inbound text, and booked appointment.
- 6. Delete what the client will never use. A snapshot with 40 unused workflows is how a support ticket gets written 6 weeks later.
Free snapshots versus paid libraries
Free snapshots are worth exactly the diagnostic time they save you. They show you how somebody else structured a build, which is a real education if you are new to the platform. They are usually unmaintained, and an unmaintained snapshot breaks quietly every time HighLevel ships a change to workflows or forms.
Paid libraries sell 2 things you cannot get free: maintenance after a platform update, and a build that has already run for other operators in the same industry. Whether that is worth paying for depends entirely on how you bill. If you charge a setup fee per client, a maintained snapshot pays for itself on the first account.
| Source | Best for | The real trade-off |
|---|---|---|
| Free community snapshots | Learning how a build is structured | No maintenance, no support, and no promise it still works after a platform update |
| The HighLevel snapshot marketplace | Browsing what exists before you commit | Quality varies by publisher, so you still have to audit every workflow |
| Paid industry libraries | Agencies launching similar accounts repeatedly | You inherit somebody else's opinions about your process |
| Building your own | Anyone whose offer is the differentiator | Slowest to start, cheapest to maintain, and the only one that matches how you actually sell |
How to judge a snapshot before you import it
Every snapshot looks impressive in a demo video, because a demo video never shows the workflow list. Ask for the list.
- How many workflows, and what does each one do in 1 sentence? A build nobody can explain is a build nobody can maintain.
- When was it last updated against a HighLevel release? Anything untouched for a year is a rebuild, not a shortcut.
- Does it include the follow-up cadence, or only the funnel? Funnels are the easy half.
- Does it use custom values for names, offers, and links, or is the previous agency's copy hardcoded into 30 emails?
- What happens to a lead that does not book? That single path decides whether the snapshot makes money.
- Is there documentation, or is support a forum thread?
Industry snapshots: where they help and where they hurt
Industry snapshots work best where the buying process is genuinely standardized: home services, dental, medspa, insurance, real estate lead capture. The intake questions, the speed-to-lead window, and the reactivation cadence are close to identical across accounts, so a shared build is a fair starting point.
They hurt where your offer is the differentiator. If you win because of how you package, price, or follow up, a generic snapshot quietly replaces your process with somebody else's and your close rate follows it down. Start from a snapshot for plumbing, then rebuild the offer and follow-up layer in your own words.
How this sells more
A snapshot is not a sales asset by itself. It sells more when it shortens your time from signed to live, because a client who sees their first booked appointment in week 1 stays long enough to buy the next thing. Time to first result is the retention metric almost nobody tracks, and the snapshot is the biggest lever on it.
